Many clients have doubts about this issue, but again we request customers to regularly download their emails to a desktop or laptop of your choice.
Don't rely only on the server to store your emails.
All emails you receive and send belong to you, therefore you should store everything locally so that you can consult those messages even offline.
Consider our mail service as a transmitter of messages and not an email storage facility.
We provide Web Hosting that includes email services, we are not providing specialized Email Hosting and/or Email storage.
When a server crashes we restore the old drive contents into the new restored email server, including all emails stored there but sometimes there are losses, or corrupted areas.
Email settings such as email accounts, passwords, etc are restored from the backups, but where losses may occur is on the messages you left on the server. Some times those message contents may have been lost.
We have regular backups on external servers of the web area, mail server settings, databases, but not your Email contents, these are only stored at the original storage location. We don't backup your email contents as that is your personal and private belongings, we don't touch those for privacy reasons.
How to proceed so that you have your emails on your end
- Choose a PC or laptop you want to have as storage for all your emails, configure your email client with POP3 account for receiving emails, and select the option to leave emails on the server. That way you will be able to consult all emails with your cell phone by Imap or another mean by webmail, while at the same time you have everything stored on your end as well. You can set your POP3 access to download and delete the email from the server if you prefer, that will keep your mailboxes lighter and faster;
- When accessing with imap or webmail, don't create folders to separate emails by subject, do that on the PC where you downloaded all emails. When you create a folder on the server and place emails there, your POP3 access won't download them, it will only download emails from the inbox;
- There are also ways of downloading emails when accessing only by Imap, but the easiest is to have an equipment downloading by POP3. Check this article regarding 'How to Backup IMAP Email Locally - A Comprehensive Guide';
Apart from downloading emails, also keep updated backup copies of your website contents and/or databases, you should do that always, even with our regular backups to external servers.
